Privacy Policy

The State Electoral Office of Estonia (hereinafter referred to as ‘Provider’) processes the following personal data: name, phone number, email address, postal address and organizational affiliation or university.

The purpose of processing personal data is the organization of the conference, including participant registration, communication related to participation, and invoicing of participation fees. Collected personal data may be used to contact participants when necessary, manage registrations, and provide information related to the conference. The email address is used to send registration confirmations, invoices, and other important organizational information.

The legal basis for processing personal data is the performance of a contract concluded between the data subject and the organizer (conference registration) in accordance with Article 6(1)(b) of the General Data Protection Regulation (GDPR).

Personal data is retained only for as long as necessary to fulfill the purposes of organizing the conference and meeting contractual obligations, including accounting requirements and the resolution of potential disputes, but no longer than one year after the conference has taken place.

The Provider transfers the personal data of registered participants to a trusted cooperation partner responsible for invoicing participation fees. Personal data is transferred only to the extent necessary for the provision of invoicing services. Personal data may also be transferred to information technology service providers if required for registration management and conference organization. Personal data is not sold, traded, or rented to third parties.

Data subjects have the right to access their personal data, request rectification, erasure, or restriction of processing, and to object to the processing of their personal data by contacting the conference organizer via email at e-vote-id@valimised.ee.

If a data subject believes that their rights have been violated in the processing of personal data, they have the right to lodge a complaint with the Estonian Data Protection Inspectorate at info@aki.ee
